Black Wall Street Travel: Where Legacy Meets Luxury

Black Wall Street Travel plans elevated group trips and private travel rooted in Black history and culture. These terms explain how we work together, from your first payment to your flight home. Please read them all the way through before you book.

When you book with us, you agree to these terms for yourself and for every traveler in your party. This page is the full agreement between you and Black Wall Street Travel. If anything here is unclear, email us before you book and we'll walk you through it.

These terms cover travel booked with us. Purchases from our merchandise shop are handled by a separate storefront with its own terms.

Part 1: The Basics

1. Who and What We Mean

  • "Black Wall Street Travel," "BWST," "we," "us," and "our" mean Black Wall Street Travel Agency LLC, which does business as Black Wall Street Travel and is based in Tulsa, Oklahoma.
  • "You," "your," "traveler," and "guest" mean the person making the booking and every person that booking covers.
  • Group Trips are scheduled departures with a set itinerary, hosted by our team or a host we choose.
  • Private Trips are itineraries we design for one traveler, one family, or one private group.
  • Suppliers are the independent companies that provide the pieces of your trip. That includes airlines, hotels, ground transportation, boat operators, local tour operators, guides, photographers, restaurants, and destination partners.
  • Force Majeure means an event outside our reasonable control that makes a trip impossible, illegal, or unsafe to run as planned. Examples include natural disasters, severe weather, war, terrorism, civil unrest, epidemics and public health emergencies, government orders, travel bans, border closures, labor strikes, transportation shutdowns, utility or infrastructure failures, and the failure of a Supplier.

2. Booking, Names, and Who Can Travel

  • How to book. You can reserve a Group Trip on its trip page, where checkout and payments are handled through WeTravel, our booking and payment platform. You can also book directly with our team, and most travelers start with a Legacy Call. Private Trip planning starts with a conversation about what you want, and you'll have a countdown call with us before you leave.
  • Booking for others. If you book for other travelers, you confirm that you have their permission to accept these terms for them, and you agree to share these terms with each of them. Every traveler must complete our traveler forms before we release travel documents.
  • Legal names. Every reservation must be made in the traveler's full legal name, exactly as it appears on the passport or government ID that traveler will carry. If a name needs to be corrected after travel documents are issued, we charge a $100 per person administrative fee, plus whatever the Supplier charges.
  • Minimum age. Every traveler on a Group Trip must be at least 21 years old on the day the trip begins. Private Trips may include travelers under 21 when they travel with a parent or legal guardian, who is responsible for them at all times. Many countries require a notarized consent letter when a minor travels without both parents, and getting that letter is the family's responsibility.

3. Passports, Visas, and Travel Documents

Getting the right documents is your responsibility. That includes your passport, any visas, and any other entry paperwork for every country on your itinerary, including countries you only connect through.

  • Your passport must be valid for at least six months after the day you return home. Many countries also require at least one fully blank visa page.
  • The document guidance we share is written for U.S. citizens. If you hold any other passport, please confirm your entry requirements with the consulate of each country you'll visit.
  • Every country decides who it lets in. If something in your history could affect entry, including a past legal matter, check the rules before you book. We can't refund a trip because a traveler was denied boarding or entry.
  • Once your trip is paid in full, we'll email your travel documents about 30 days before departure. If you'd like printed copies when electronic ones are available, we charge a $75 processing fee and mail them to a street address 14 to 21 days before departure.

4. Travel Protection Is Required

Travel protection is required for every traveler on every trip. A canceled or interrupted trip can cost you real money, our payments are non-refundable (see Section 8), and medical care far from home is expensive. The right plan is how you protect yourself.

  • What your plan must include. For international trips, your plan must include emergency medical coverage and emergency medical evacuation and repatriation. We strongly recommend that every plan also include trip cancellation, trip interruption, baggage coverage, and Cancel for Any Reason coverage.
  • When to buy. We recommend buying your plan when you pay your deposit, since some benefits are only available for a short window after that first payment.
  • Proof of coverage. Send us your insurance provider, policy number, and the plan's emergency phone number no later than your final payment date. We can point you to a plan, but the choice of plan and provider is yours, and we aren't responsible for an insurer's decisions.
  • Traveling without it. If we haven't received proof of coverage before departure, we may decline to let you travel. We treat that as a cancellation by you, and Section 8 applies.

Part 2: Payments, Rooms, Cancellations, and Changes

5. Pricing

  • Prices are per person and based on two travelers sharing a room, unless your trip page or invoice says otherwise.
  • Your price covers what's listed in your itinerary. Final inclusions are confirmed in writing when you reserve your seat. Section 15 lists what is not included.
  • Published prices are accurate when we post them. They can change before you book because of Supplier costs, airfare, taxes, or currency exchange rates. For Group Trips, your price is secured once you book. For Private Trips, your price is secured when we receive your deposit.
  • On rare occasions a Supplier adds a charge after booking, such as a fuel surcharge or a new government tax. If that happens, we'll tell you in writing before anything is added to your invoice.
  • If we make a pricing mistake, whether human or technical, we'll send a corrected invoice. You can pay the corrected amount or cancel for a full refund, as long as we receive your written cancellation within five days of our notice.

6. Rooms and Roommates

  • Your own room. If you're traveling solo and want a room to yourself, a single supplement applies. The amount is shown on your trip page or invoice.
  • Roommate matching. If you're traveling solo on a Group Trip and would like to share, tell us when you book and we'll match you with another traveler. Requests must reach us before your final payment date. Matching is a courtesy, and we can't promise that a match will be available.
  • If we can't find you a roommate. If no match is available by your final payment date, you can pay the single supplement, bring your own roommate, or cancel under Section 8.
  • If your roommate cancels before your final payment date. We'll look for a replacement. If we can't find one by your final payment date, the single supplement applies to you.
  • If your roommate cancels after your final payment date. Your price stays the same.
  • Sharing a room. Roommates are fellow travelers, and we aren't responsible for a roommate's habits, conduct, or belongings. If sharing isn't working once the trip begins, we'll help you move to your own room if the hotel has one available, at your expense.

7. Deposits and Payments

  • Deposit. A deposit is due when you book, and it holds your place. Deposits are non-refundable and non-transferable. For Group Trips, the deposit is the amount shown on your trip page or invoice. For Private Trips, the deposit is 30% of the trip price.
  • How to pay. We accept major credit and debit cards, along with the other payment methods offered at checkout or listed on your invoice. If you book within 30 days of departure, payment must be made by credit or debit card. Any processing fee shown at checkout is non-refundable.
  • Payment plans and automatic billing. Payment plans are built into our Group Trips. When you choose a payment plan, you authorize each scheduled payment to be charged automatically to the payment method you saved at checkout, on the dates shown in your plan. You'll get email reminders before each charge. Keeping your payment method current is your responsibility.
  • Final balance. For Group Trips, your final balance is due 90 days before departure. For Private Trips, your final balance is due on the date shown on your invoice.
  • Late and missed payments. If a scheduled payment fails or is more than 5 calendar days late, we may add a $30 late fee. If your final balance isn't paid by the due date, we may add a $250 late fee. If two scheduled payments are missed, or your final balance is more than 14 days late, we may treat the booking as canceled by you, and Section 8 applies.
  • Getting back on the trip. If your booking was canceled for missed payments, you may ask to be reinstated within 14 days. If your place is still available, we'll reinstate you once you've paid everything past due plus a $250 reinstatement fee.
  • Payment disputes. If you have a concern about a charge, contact us first so we can resolve it. Because you agree to these terms when you book, you also agree not to dispute or charge back a payment that was made in line with them. If a chargeback is filed improperly, we may cancel the booking and recover our reasonable costs of responding to it.

8. Cancellations and Refunds

All cancellation requests must be sent in writing to hello@blackwallstreettravel.com. A cancellation takes effect on the day we receive it.

  • If you cancel a Group Trip. All payments are 100% non-refundable. You may transfer your place to another traveler for a $250 administrative fee, following the rules in Section 9.
  • If you cancel a Private Trip. All payments are non-refundable, including any planning fees. You may transfer the trip to another traveler. We don't charge a fee for that transfer, but you're responsible for anything a Supplier charges to make the change.
  • If we cancel. If we cancel a trip because too few travelers booked, or for another operational reason, we'll refund everything you paid to us. We aren't responsible for costs you paid to anyone else, such as flights you booked on your own, visa fees, or travel protection premiums. For that reason, please wait for our written confirmation that a Group Trip is going ahead before you buy non-refundable flights.
  • Force Majeure. The "if we cancel" refund does not apply when a trip is canceled, cut short, or changed because of Force Majeure. In that situation we don't issue refunds. We'll work with our Suppliers to reschedule the trip or secure a future travel credit for you, but we can't promise either, because those decisions belong to the Suppliers. This is one of the main reasons travel protection is required.
  • Unused services. There are no refunds or credits for any part of a trip you don't use. That includes arriving late, leaving early, missing a departure time, or choosing to skip a meal, tour, or activity.
  • Refund timing. Any refund we owe you is issued within 45 calendar days.

9. Changes and Transfers

  • Changes to your booking. Any change you request after booking is subject to Supplier charges, and some changes may not be possible.
  • Moving to a different Group Trip. You may move to a different Group Trip if you ask more than six months before your original departure date. A $250 fee applies, along with any difference in trip price.
  • Giving your place to another traveler. You may transfer your Group Trip place to another traveler up to 30 days before departure. A $250 fee applies, along with any Supplier charges. The new traveler must meet the requirements in these terms and agree to them.

Part 3: On the Trip

10. Health, Mobility, and Special Requirements

  • Health requirements. You're responsible for meeting every health and vaccination requirement for your destination. Please talk with your doctor and check current guidance from the Centers for Disease Control and Prevention (CDC) well ahead of your trip.
  • Pace and mobility. We plan our trips at an unhurried pace, with rest built in. Even so, many of the places we visit involve walking and standing for extended periods, stairs, cobblestones, sand, ferries and boats, and uneven ground. You should be able to manage those without assistance from our team.
  • Tell us early. If you have a disability, a mobility concern, a medical condition, or any other special requirement, tell us in writing before you book. We'll be honest with you about what the destination and our Suppliers can and can't accommodate.
  • Dietary needs. Send dietary needs and food allergies in writing at least 30 days before departure. We'll pass them to our Suppliers and do our best, but we can't guarantee that every request can be met at every meal.
  • Fitness to travel. If we have a real concern about whether a traveler can safely take part, we may ask for a doctor's note. If a traveler's condition puts that traveler or others at risk, we may decline the booking or end that traveler's participation, and the removal terms in Section 11 apply.
  • Medical emergencies. If you need medical care during a trip and can't make decisions for yourself, you authorize our team to arrange emergency care and transportation for you. You're responsible for the cost.
  • Assistance. Our hosts and guides can't provide personal or medical assistance. If you need that kind of help, you must travel with a companion who will provide it.
  • Accessibility abroad. Hotels, vehicles, and historic sites outside the United States often don't meet the standards of the Americans with Disabilities Act. We can't guarantee ramps, elevators, accessible rooms, or accessible vehicles.
  • Service animals. Many countries, airlines, and Suppliers restrict the entry or transport of animals, including service animals. If you travel with a service animal, tell us before you book so we can find out whether the trip is possible. We can't guarantee that it will be.

11. Guest Conduct

Our travelers come for the history, the culture, and each other, and everyone deserves to enjoy the trip.

  • Removal. We may decline a booking, or remove a traveler from a trip, if that person's behavior is unsafe, unlawful, disruptive, or disrespectful to fellow travelers, our team, our Suppliers, or the communities we visit. That includes intoxication that affects the group and any use or possession of illegal drugs. A traveler who is removed receives no refund for unused services and is responsible for every cost of leaving early, including lodging and transportation home.
  • Damage. You're responsible for any damage or loss you cause to a hotel room, vehicle, boat, or other property, and you agree to pay for it when the Supplier asks.
  • Group chats. The same standards apply in any group chat or online space we host for your trip.

12. Itineraries, Hotels, and Transfers

  • Itinerary changes. Travel doesn't always go to plan. We may need to change or substitute hotels, activities, guides, or the order of an itinerary. When we substitute, we choose something of comparable or higher standard. Necessary changes like these don't qualify for a refund.
  • Your flights. Flights are not part of your trip price, and you book them yourself. Please wait for our written confirmation that your Group Trip is going ahead before you buy non-refundable flights. Send us your full flight details at least 30 days before departure so we can plan your arrival.
  • Airline changes. Airlines change schedules, routes, and flights, and sometimes cancel them. We aren't responsible for those changes or for costs that result from them, though we'll do our best to help you adjust. If a delay or change means you miss your arranged transfer or part of the trip, any added cost is yours, and the unused services terms in Section 8 apply.
  • Rooms. Tell us your bed preference when you book. We'll request it, but every room type is subject to availability at check-in. Check-in is usually at 3:00 p.m. and check-out is usually by 12:00 p.m.
  • Airport transfers. On Group Trips, airport transfers are included on the official first and last day of the itinerary, where your itinerary says so. If you arrive early or stay late, you'll arrange and pay for your own transfers.
  • Minimum group size. Group Trips need a minimum number of travelers to run. If a trip doesn't reach its minimum, we may cancel it, and the "if we cancel" terms in Section 8 apply.

13. Optional Activities, Free Time, and Business Sessions

  • Optional activities. Some itineraries offer optional tours, photo shoots, spa time, and other add-ons at an extra cost. They're provided by Suppliers, they're subject to availability and to the Supplier's own terms, and they're non-refundable once booked.
  • Free time. Our itineraries include free time and rest days. Anything you arrange on your own during free time is outside our trip and at your own risk, even if a host or guide mentioned it to you.
  • Business sessions. Some trips include business activities and professional development sessions. They are educational. They aren't legal, tax, or financial advice, and we make no promise about business results or about whether any part of your trip is tax deductible. Please talk with your own tax professional.

14. Luggage

  • Plan on one checked suitcase of up to 50 pounds (23 kg), one carry-on bag, and one personal item per traveler. Some trips, including any with small aircraft or safari vehicles, have tighter limits, and we'll tell you ahead of time.
  • Many international airlines limit carry-on bags to about 8 kg (17 pounds). Check the limits for your own flights with your airline.
  • Airline baggage fees are your responsibility. We aren't liable for luggage or personal belongings that are lost, stolen, delayed, or damaged. Keep valuables, medication, and travel documents with you, and make sure your travel protection plan includes baggage coverage.

15. What's Not Included

Unless your itinerary specifically says it's included, your trip price does not cover:

  • Flights
  • Travel protection
  • Passport and visa fees
  • Vaccinations and other medical costs
  • Meals and drinks not listed in your itinerary
  • Gratuities, unless you add prepaid gratuities when you book
  • Optional tours, photo shoots, and other add-ons
  • Spa time and spa services
  • Personal expenses, such as laundry, phone service, and shopping
  • Airline baggage fees
  • Transfers outside the official trip dates

16. Photos and Video

We photograph and film our trips. By traveling with us, you give Black Wall Street Travel permission to use photos and video that include you on our website, in our emails, on social media, and in our marketing, without payment. If you'd rather not appear in our content, tell us in writing before departure and we'll respect that.

17. Our Role and Our Suppliers

Black Wall Street Travel acts as an agent for our Suppliers. We don't own, operate, or control the airlines, hotels, vehicles, boats, tour operators, guides, or other companies that deliver your trip. They are independent contractors, and we aren't liable for their actions, mistakes, or failures. Each Supplier has its own terms and conditions, and your booking is subject to them. When you book with us, you agree to those terms as well. Some Suppliers may ask you to sign their own waiver before an activity, and you may not be able to take part without signing it. We're glad to send you copies of Supplier terms on request.

18. Limitation of Liability

To the fullest extent the law allows, Black Wall Street Travel and its owners, officers, employees, hosts, and representatives are not responsible for any injury, illness, death, loss, damage, delay, or inconvenience connected to your trip or to any goods or services provided as part of it. That includes anything caused by Force Majeure, the acts or failures of a Supplier, overbooked or substandard accommodations, transportation failures, criminal activity, government action, or any other cause outside our direct control. By booking, you release Black Wall Street Travel from these claims, including claims based on our own ordinary negligence, and you accept the risks described in Section 19.

If we are ever found liable for any reason, our liability is limited to the amount you paid us for the trip. We are not liable for indirect, consequential, or punitive damages, and you waive any right to them.

19. Assumption of Risk

Travel carries real risks. They include accidents, illness, communicable diseases, limited or distant medical care, crime, political instability, severe weather, and the ordinary hazards of vehicles, ferries and boats, swimming and other water activities, cable cars, historic sites, and unfamiliar places. Some of our experiences include wine tastings and other occasions where alcohol is served, and drinking is always your choice and your responsibility. By booking, you acknowledge these risks and you choose to accept them for yourself and for every traveler on your booking.

20. Your Responsibility to Us

If your actions, or the actions of a traveler on your booking, cause a claim, loss, or expense for Black Wall Street Travel, you agree to cover it, including reasonable legal fees. That includes claims that come from breaking these terms, breaking the law, or causing injury or damage during the trip.

21. Claims, Disputes, and Governing Law

If a problem comes up during your trip, tell your host right away so we have the chance to fix it while you're still there.

  • Deadline for claims. Any claim against Black Wall Street Travel must be sent to us in writing within 30 days after your trip ends, or within 30 days after the cancellation if the trip didn't run. We won't consider claims that arrive after that.
  • Arbitration. If we can't resolve a claim together, any dispute connected to these terms or to your travel with Black Wall Street Travel will be settled by binding arbitration under the rules of the American Arbitration Association, held in Tulsa County, Oklahoma. By booking, you give up the right to a jury trial and the right to take part in a class action.
  • Governing law. These terms are governed by the laws of the State of Oklahoma.

22. Privacy and Communications

We collect personal information when you book, join a Legacy Call, or sign up for our emails. That includes your name, email address, phone number, passport details, date of birth, travel preferences, insurance details, and any health or dietary information you choose to share with us.

We use that information to plan and run your trip, to take care of you while you travel, and to send you BWST news and trip announcements. We don't sell your information. We share it only with the Suppliers and service providers who need it to deliver your trip, such as hotels, tour operators, and our booking and payment platform. We store it securely and limit who can see it.

  • Texts and calls. When you give us your mobile number, you agree that we may text or call you about your booking and your trip. Message and data rates may apply. We'll send marketing texts only if you opt in, and you can reply STOP at any time to end them.
  • Group chats. We may invite you to a group chat before your trip. If you join, your name and phone number will be visible to the other travelers in that group. Joining is optional.
  • Your choices. You can ask to see, correct, or delete your personal information at any time, and you can unsubscribe from our emails whenever you like. Send requests to hello@blackwallstreettravel.com.

23. Updates to These Terms

We may update these terms from time to time. The version posted on this page on the day you book is the version that applies to your booking. If any part of these terms is found to be unenforceable, the rest stays in effect.
